We start with the FiNAO platform, and integrate specific components, features and functions. All components will include forms (data collection) as well as custom workflow and notifications. Each component generates actions, tracks compliance, ensures accountability and communicates information.

Audit and Inspections
Efficient and effective audits and inspections determine if workplace practices are meeting legislative requirements. Our Audits and Inspection forms allow systematic examination to determine whether activities and related results conform to the organisations WHS requirements (and OHS AS 18001).

Corrective Actions (CA's) can be generated for non-compliance. CA's can then be managed through the appropriate process to ensure accountability and close-off. Users can be assigned responsibility with required actions in a determined timeframe to ensure timely resolution.
Managing Risk
Allows you register Risks directly into an online register. Risks can be managed through the appropriate process to ensure accountability and mitigation / close-off. Users can be assigned responsibility with required actions in a determined timeframe to ensure timely resolution. Risks can be tracked, assigned and reviewed in real-time as required.

Successful Risk Management lies in the ability to collaborate between a variety of knowledge silos to find the best and most innovative solutions to mitigate the risk (or hazard).
Employee management (HR module)
The cornerstone of the system and integral to all other system modules and Modules. Allows employee information to be securely stored and accessible through one single interface. The HR module manages individual employee information including critical competencies of all employees exposed to risks in accordance with WHS Regulations. The system can also include specific on-boarding and inductions.

  • User registration (by Admin) – The form fields can be customised to specific requirements
  • External user registration (with an internal approval process)
  • Can include an API to pull user data from an existing source (ie. payroll)
  • Manage user roles and permissions to restrict system access and functions
  • Assign competencies to user roles
  • Allow users to self manage their competencies / certifications
Incident reporting and management
The key to effective Incident Management is communications - real-time reporting (of relevant information) and real-time notifications all within a pre-determined workflow. System users can report the risk from their smart device, capture pictures or videos and upload direct to the system. Key personnel can be notified (via SMS or email) to ensure a timely response.

Our Incident Management component allows an organisation to identify, analyse, and correct hazards to prevent a future re-occurrence.

Corrective Actions (CA's) and non-conformances can be generated in the incident review process. These can then be managed through the appropriate process to ensure accountability and close-off. Users can be assigned responsibility with required actions in a determined timeframe to ensure timely resolution.

Incident investigation methodology such as ICAM can be integrated. ICAM provides the ability to identify what really went wrong and to make recommendations on necessary remedial actions to reduce risk and build error-tolerant defences against future incidents.
Plant and Asset registration and management
It is essential to maintain records on all plant, equipment and machinery (assets). Our system registers relevant information (such as ID, maintenance and insurance) with automated warnings (ie. SMS / email) to the relevant stakeholder should insurance be about to expire or if maintenance is due.

  • Track insurances and service records (maintenance) to ensure compliance
Contractor registration and management
Our system allows you to collate and manage the relevant details of all your contractors online in one secure location to ensure competency and compliance.

Information can include contractors’ contact details, insurances (Public Liability, Workers Comp etc), scans of certificates of currency (CoC) and their accreditations. When their insurance, qualifications or accreditation is due to expire they will be prompted via an automated email to renew and upload the new details.

  • Can include an API to pull contractor data from an existing source
  • Manage Contractor roles and permissions to restrict system access and functions
  • Track a Contractor’s accreditation, insurances and certificates to ensure compliance
  • Allow Contractors to self manage their competencies / certifications
Project management
Our system can manage the specific phases of your project: from initiation through planning, procurement, implementation and delivery. Each step would include relevant approvals and workflow. All approvals and workflow can be tracked back to the person who approved as well as the time and date of approval. Specific notifications and workflow can be generated based on the data entered.

Project management can be integrated with other modules, such as contractor management and plant / asset management to provide real time and relevant data. This resource information can be plotted on a map or in a calendar.
Timesheet reporting and management
System users can either 'check-in' and out at a location or can enter the hours worked at the end of the day or week (from their own smart device). Timesheets can be used for all registered users - employees, contractors as well as assets (such as plant, equipment and machinery).

Data is collated and can be uploaded to an existing accounting package through a manual or automated process (using an API).
Worker tracking and monitoring
Knowing where your workers are and ensuring their safety can sometimes be logistically difficult to manage. Our lone worker tracking system provides an automated method of monitoring your team (via SMS) in the field and quickly alerts supervisors / managers in the event of an emergency.
Communication and consultation
The duty to consult is based on the recognition that worker input and participation improves decision-making about WHS matters and assists in reducing work-related injuries and disease. Effective communication can be key to the ability of a business to function smoothly.
Authority and permit to work systems
A permit-to-work procedure is an approval process for managing high-risk activities. Paper based systems can be unreliable and inefficient due to the number of forms, steps and personnel involved. It can be a long laborious, manual process. An online system automates the workflow with specific approval processes and notifications as required. This means the permit-to-work system can be simply tracked and managed online in real-time.
Dashboards and reporting
A state-of-the-art data collection system must generate the reports you require. System reports can be customised to pull (and process) data from a number of sources (modules) to show specific data requirements for KPI’s / board reports etc.

Reports can be generated in real-time (on demand) or at pre-determined timeframe (such as nightly or monthly).

Reports can be generated online or can be emailed to specific users as specific times of the day, week or month.
